š” An invoice is a payment request you send to someone to collect money, for example a sponsor's pledge or payment for completed work. The funds land in your HCB balance when the invoice is paid.
When to use an invoice
A sponsor pledged a donation at an event.
You're collecting payment for work your project completed.
You're requesting payment after finishing a project.
What you'll need
To create an invoice, you'll enter:
The recipient's name, contact email, and address (you can save sponsors and reuse them later).
An amount.
A short description of what it's for.
A due date (at least a few days out; it defaults to 30 days).
How to send one
On your organization's dashboard, open the Invoices page.
Click Send an invoice.
Choose a new or existing sponsor, then fill in the amount, description, and due date.
The invoice is emailed to the recipient right away.
What the recipient sees
They receive an email with a hosted invoice they can pay online by card or bank transfer. It notes that your project is fiscally sponsored by The Hack Foundation (a 501(c)(3), EIN 81-2908499), which is helpful for their records.
After you send it
Track each invoice's status from the Invoices page, where it shows as open, due soon, overdue, or paid. When it's paid, the money lands in your HCB balance.
