What can my organization spend money on?

Allowed and prohibited spending for a fiscally sponsored organization, and the merchant types HCB blocks.

šŸ’” You can spend your organization's money on anything that genuinely furthers its mission. Because you're a nonprofit, spending has to be for the organization, not personal, and some merchant types are blocked outright.

What you can spend on

Anything that advances your organization's charitable, educational, or mission-related work: supplies, software, event costs, travel for the project, prizes, and so on. When in doubt, ask whether the purchase benefits the organization's mission rather than an individual.

What's not allowed

  • Personal purchases. Your organization's money can't be used for personal benefit. If you accidentally buy something personal on your card, flag it as a personal transaction and pay it back. See I used my org card for a personal purchase by mistake.

  • Anything outside a nonprofit purpose, like for-profit ventures or political campaign activity.

Merchant types HCB blocks

Some categories are blocked on all HCB cards, including:

  • Gambling, casinos, betting, and lotteries.

  • Money transfers, money orders, and reloadable or stored-value cards.

  • Peer-to-peer apps like Venmo, Cash App, and Zelle.

  • Cash and ATM withdrawals.
