I used my org card for a personal purchase by mistake. What do I do?

Flagging an accidental personal charge and paying your organization back.

šŸ’” If you accidentally buy something personal on your organization's card, open the transaction and flag it as a personal transaction. HCB emails an invoice to pay your organization back, and the charge no longer needs a receipt.

Flag the transaction

  1. On your organization's dashboard, open the transaction you made by mistake.

  2. Open its menu (the ... button) and choose Flag as personal transaction.

  3. Confirm.

You can do this for any card charge of $1 or more.

Pay your organization back

Flagging the charge creates an invoice for the full amount, sent to the cardholder (the person who made the purchase). It's due within one month, and you can pay it by card, ACH, or check, using the details in the invoice. Once it's paid, the charge is settled and your organization is made whole.

No receipt needed

A personal transaction doesn't need a receipt. Flagging it removes the charge from your list of transactions that still need one.

Didn't make the charge at all?

If you don't recognize the charge, this isn't the right tool. Don't flag it as personal; dispute it instead. See How do I dispute a transaction?

Good to know

  • You can flag a transaction as personal yourself; you don't have to be a manager.

  • The full amount is invoiced. You can't flag just part of a charge.

  • You can't flag the same transaction twice, and flagging can't be undone, so double-check before you confirm.
