This article is for managers of an organization who want to add a spending limit for members of the organization. Please note that spending limits can only be applied to members. Managers cannot have spending limits, and Readers are inherently read-only.
As an organization manager, you have the ability to set spending limits for members of your organization. These spending limits apply across all of their cards.
Here is an overview of how to manage spending limits:
To get to a team member's spending controls page, visit the Team page and click on the $ icon next to their name. A team member's spending controls page gives you consolidated details of how they're using their cards.
When controls are disabled, a member can spend any amount of money with their cards. To enable spending controls for an organization member, click on the "Enable" button.
ℹ️ Note
Whether or not spending limits are enabled, because they're not managers, organization members still can't make transfers via ACH, Check, Wire, etc.
With spending controls enabled, any new transactions on the member's card will be approved/declined based on their balance. Since we haven't given them an allowance yet, their balance is zero, and all transactions will be declined.
To give the member a spending limit (or modify their existing limit), click on the New button in the top right corner. You can either increase or decrease their limit using the form that pops up.
Now, the member will have the ability to spend (on any of their cards) up to the spending limit balance.
ℹ️ Note
Creating a spending limit doesn't hold money from your organization's balance! The organization's balance (and spending limit's balance) only decreases when the member spends on their cards. They can spend up to your organization's balance or their spending limit balance, whichever is lower.
⚠️ Important!
These allowances are not time-dependent. They do not expire, nor do they recur (like on a weekly or monthly basis). If someone with a spending limit depletes their balance, you'll need to add to their balance via the above process for them to be able to spend more.
P.S. You can also choose to enable spending controls with an initial allowance amount when you invite someone to your organization as a member! Set this number to zero to prevent them from spending on their cards.
